Administration:
We attend to all Board and Member meetings by providing the necessary agendas, accompanying documents, compiling minutes, execute resolutions and assist therewith and keep a comprehensive archive electronically and otherwise and manage the insurance of and claims on behalf of schemes

Accounting  process:
Collection of levies as determined by the annual budget.
Keeping Book of data in a permanent and logical form.
Summarizing data to produce statements and reports, utilized by users of accounting information - externally and internally.
Interpreting and Communicating the performance of complexes to the Boards and owners.
Forecasting and Planning future operations of complexes by providing Boards with evaluations of the viability of proposed operations, and a proper budget.

Budget: 

  • Preparing draft Annual Estimates of Income and Expenditure and proposed monthly levies.

  • Regularly reviewing Cash flow.

  • Calculating special levies.

  • Assisting Boards in presenting the Budget at Annual General Meetings (AGM).


Income:

  • Collecting and receiving levies (special levies) and other income.

  • Sending monthly statements to owners.

  • Attending to the collection of arrear levies - minimizing debt.

  • Exercising reasonable credit control up to commencement of legal action.


Expenditure:

  • Verification and payment of accounts.

  • The Upkeep of attendance and registers of staff and the payment of salaries, wages, PAYE, UIF, and WCA to statutory bodies.


Bank Account:

  • Managing bank accounts (Separate Trust Accounts for Bodies Corporate and Homeowners Associations in terms of the Property Practitioners Act 2019) on behalf of Boards via:

  • Electronic payments.

  • Investing surplus funds.


 Clearance Certificate:

  • Issuing clearance certificates to owners on behalf of the Boards, subject to levies and other monies due having been paid and all legal requirements having been met.


Reporting / Control:

  • Preparing monthly reports to Boards:

  • Expenditure Actual vs. Budget (Ytd)

  • Outstanding Levies

  • Assisting the Board in presenting Audited Financial Statements at AGM’s


Secretary & Registered Office:
Acting as Secretary, providing registered office facilities, handling all statutory paperwork required by the Company’s Act 2008 / Sectional Titles Schemes Management Act 2011 (STSMA)

Professional Indemnity Insurance:
SAIPA's professional indemnity policy covers the Insured against their liability to pay compensation to third parties, including legal fees, as a result of any actual or alleged negligent act, error or omission in the performance of their professional duties.

Fidelity Insurance Cover:
As a firm registered with the Property Practitioners Regulatory Authority, our fidelity insurance cover extends to our clients' funds.
